Englishia (“Englishia,” “we,” “us,” or “our”) connects students with independent English tutors for live one-on-one and group classes, including the English Cafe community sessions. This Privacy Policy explains what personal data we collect, why we collect it, how we use and share it, and the rights you have over it. It applies to anyone who visits englishiastudio.com or uses our related services (together, the “Service”).

Who we are

Englishia is operated by Englishia LLC (“Englishia”), registered at 140 Buttermilk Road, Trade, Tennessee 37691, United States. For users in the European Economic Area, the UK, and Switzerland, Englishia LLC is the data controller responsible for your personal data. Personal data we collect

We collect the following categories of personal data:

Account information — your name, verified email address, optional verified phone number, preferred language, and whether you’re registered as a student or a tutor.
Profile information — for tutors, professional background, biography, spoken languages, certifications, and profile photo; for students, English proficiency level and learning goals.
Class and booking data — scheduled and completed classes, booking and cancellation history, your subscription plan (Café, Professional, or Immersion) or à la carte purchases, and attendance records.
Payment information — billing name, selected plan, invoice history, and transaction identifiers. Your card and bank details are collected and stored directly by our payment processor, Stripe, Inc.; Englishia never receives or stores your full card number.
Communications — messages sent through the platform’s chat, English Cafe conversations, support requests, contact-form submissions, and any reviews or feedback you provide.
Usage and device data — IP address, browser and device type, pages viewed, timestamps, and similar diagnostic data collected automatically through cookies and server logs.
Tutor connection activity — for tutors, when you connect to and disconnect from the Service, your resulting online status, and your cumulative connected time over a rolling period, used to support scheduling and to help evaluate performance and eligibility for tutor benefits or recognition programs (see “Tutor connection monitoring” below).

How we use your personal data

We use personal data to:

Provide and operate the Service, including matching students with tutors, scheduling classes, and running the English Cafe.
Process payments, manage subscriptions, and maintain billing records.
Communicate with you about your account, class reminders, and support requests.
Verify tutor credentials, detect fraud or abuse, and enforce our Terms & Conditions.
Evaluate tutor performance and connection reliability to determine eligibility for tutor benefits, incentives, or recognition programs.
Send marketing communications where you’ve opted in, which you can unsubscribe from at any time.
Comply with legal and tax obligations.
Analyze aggregated usage data to improve the Service.

Legal bases for processing (EEA, UK, and Switzerland)

Where GDPR applies, we rely on the following legal bases:

Contractual necessity — to create your account and deliver the classes you book.
Legitimate interests — to keep the Service secure, prevent fraud, and improve our product, balanced against your rights and freedoms.
Consent — for optional marketing communications and non-essential cookies, which you can withdraw at any time.
Legal obligation — for example, retaining billing records to comply with tax and accounting law.

Cookies and similar technologies

We use essential cookies to keep you signed in and to operate core features of the Service, and, where you consent, functional and analytics cookies to understand how Englishia is used. You can manage non-essential cookies through the cookie banner shown on your first visit or through your browser settings; see our cookie notice for details.

Tutor connection monitoring

If you’re a tutor, we automatically record when you connect to and disconnect from the Service, your resulting online status, and your cumulative connected time over a rolling period. We use this data, together with other performance indicators such as completed classes and student feedback, to support scheduling, respond to operational issues, and evaluate your eligibility for tutor benefits, incentives, or recognition programs. Only Englishia’s platform administrators can view this data directly; any program that uses it to grant or adjust tutor benefits will describe its own specific criteria separately, and you can request human review of any decision that materially affects your account by contacting privacy@englishiastudio.com.

How we share your personal data

We share personal data with:

Other users — a tutor’s public profile is visible to prospective students, and a student’s first name and profile details are visible to a tutor they’ve booked. We never share your full contact details with other users without your action.
Service providers — including Stripe (payments), our email delivery provider (transactional and marketing email), our cloud hosting and storage providers (including tutor profile photo storage), and analytics providers. Each is contractually bound to use your data only to provide services to Englishia.
Legal and safety — where necessary to comply with law, enforce our Terms & Conditions, or protect the rights, property, or safety of Englishia, our users, or the public.
Business transfers — if Englishia is involved in a merger, acquisition, or asset sale, personal data may be transferred as part of that transaction, subject to this policy.

We do not sell your personal data, and we do not share it for cross-context behavioral advertising.

International data transfers

Because our tutors, students, and service providers are located worldwide, your personal data may be transferred to and processed in countries other than your own, including the United States. Where we transfer personal data out of the EEA, UK, or Switzerland, we rely on Standard Contractual Clauses or another legally recognized transfer mechanism.

Data retention

We retain personal data for as long as your account is active and as needed to provide the Service. After you delete your account, we retain billing and tax-related records for at least seven years to comply with accounting law, and delete or anonymize other personal data within a reasonable period.

Data security

We use administrative, technical, and organizational safeguards — including encryption in transit, short-lived one-time codes, and hashed session tokens — designed to protect your personal data. No system is completely secure; protect access to your email, phone, and linked social accounts, and contact privacy@englishiastudio.com promptly if you suspect unauthorized access.

Your privacy rights

If GDPR applies to you, you have the right to access, correct, delete, restrict, or port your personal data, to object to certain processing, to withdraw consent at any time, and to lodge a complaint with your local data protection authority.

If you’re a California resident, the CCPA gives you the right to know what personal data we collect and why, to delete it, to correct it, to opt out of its sale or sharing (we do neither), and to not be discriminated against for exercising these rights. You may designate an authorized agent to submit requests on your behalf.

To exercise any of these rights, contact us at privacy@englishiastudio.com. We may need to verify your identity before fulfilling a request, and we’ll respond within the time required by applicable law.

Age restrictions

The Service is intended for users who are 18 or older. We do not knowingly collect personal data from anyone under 18, and we’ll delete any such data promptly if we become aware of it.

Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we’ll notify you by email or through a notice on the Service before the change takes effect.
